Vehicle intake & records
The car's condition on file before work starts.
New Intake opens the camera. Photos land on a record tied to the appointment, client and vehicle. Once the customer signs, nothing on it can change.

How it works
Vehicle Intake & Records, step by step
Tap New Intake, and the camera is already open
New Intake opens your phone camera, not a form. The record is created before any photo uploads, so a dead spot never costs you the intake.
It attaches to the job, the customer, and the car
A record made from an appointment carries the appointment, client, and vehicle. Type it Intake, Condition, Delivery, or Note. Each gets a permalink for your team.
Hand the customer their copy and get a signature
Tap Customer copy for a link to that one record. The customer sees the car, notes and photos, and signs. Links work for 90 days.
Find it again on the day it matters
Every intake, condition note, and delivery in one list, newest first, with photos. Search the whole history and filter by type.
Photos live in a private bucket, never a public URL
Record photos go into a private bucket and come back only through Strata's authenticated proxy. No signed URLs. The exception is the copy link you send.
GPS comes off every photo before it's stored
Phones write GPS into photos by default. Strata strips EXIF, XMP, and location data from every JPEG, PNG, and WebP on upload. Color profiles stay.
A signed record stops moving
Once your customer signs, the notes, type, and photos freeze. Strata refuses changes at the server, not just the app. New work gets a new record.
Your techs document the work without seeing the money
Records use the same jobs permission as the board, so a technician who can move a job can shoot the intake. Records carry no pricing fields.
What you get
The condition of the car is on file before you touch it, in photos instead of memory
A damage argument ends with a signed record and a timestamp, not a text thread
Customer photos never sit behind a public URL, and no home address rides along inside the file
Techs document their own work from the bay and never see what anything costs
The car from last month is one search away, photos and all
Vehicle Intake & Records questions
Do I have to fill out a form before I can take the first photo?
No. New Intake opens the camera, and the record exists before the first photo uploads. Add a title, notes, or type after, or never. On desktop it opens the file picker.
Where do the photos actually live, and can anyone else see them?
In a private bucket. They come back only through Strata's authenticated proxy, with no public or signed URL. The exception is the customer copy link, which you can turn off.
What if I send a copy link to the wrong person?
Open the record and tap Turn off links. Every copy link for that record stops working on the spot. A fresh link works immediately. Links also expire after 90 days.
Can I fix a typo after the customer signs?
No. Once signed, the notes, type, and photo set are locked. Write a new record for anything after. You can still delete the record, and Strata logs that it was signed.
